The post-holder will focus on the coordination of various Global and Regional learning courses. In additional they will be responsible for a number of EMEA regional on-site requirements for courses based in DUE in Brussels or Paris, Prague and Global courses which may be in any Europe city. They may also be expected to attend residential courses outside of the EMEA region which will involve overnight stays of a maximum of five nights per courses.

Your Future Duties and Responsibilities

Pre-Course

• Liaise with Hyderabad Learning Coordinators over the completion of materials
• Arranging for materials to be printed locally and dispatched to the venue - Facilitator guides, Participant guides, Handouts, Who’s Who Guide, Welcome letters, Badges/Tent Cards and Group Lists
• Arrange course resources - Stationery box and other requirements On-Site
• Liaising with the relevant Curriculum Manager and Learning Coordinator prior to course
• Set up main room prior to the start
• Organize all technical material, equipment, stationery etc. for distribution during event
• Contact for participants, facilitators, venue, any agent used for social activity
• Resolving facilitator & logistical problems at the event
• Post course feedback to Curriculum Manager Learning Coordinator on any issues

Course Coordination

In addition to your on-site work you will also be allocated to a number of courses as the Learning Coordinator so you get a full understanding of all the processes:

• Facilitators - Allocation, confirmation, briefings and dealing with cancellations
• Registration - Using Reg On-Line to build, monitor, confirm registrations, DLP uploads
• Venue/Socials - Book, confirm, manage venue details and accommodation lists
• Materials and course resources - Chase, collate, rebrand materials and course resources
• Pre-Work - Deal with pre and post work requests
• Finance and budgets - Contracting, invoicing, recharges, travel equalisation, budget reconciliation
• Evaluation - Evaluation forms, summarising data, facilitator feedback
• Ad hoc - Visa letters, US CPE points, general course queries

Your Skills and Personal Attributes

• Good customer care skills and ability to build rapport with internal clients and external suppliers at all levels
• A mature approach, including initiative and common sense
• Excellent communication skills (including telephone skills); professional in manner with a commercial approach to decision taking
• Willing to work overtime and away from the office base as needs dictate, able to cope with a pressured and varied workload;
• Multi-tasking, time / project management skills with ability to work to deadlines
• Team player with good social skills and commitment to the role and self development
• Good knowledge/grasp of English grammar and spelling
• Excellent IT skills, also Word, Powerpoint, Excel, eRooms etc
• Knowledge of Learning Management and Learning Evaluation systems
• You enjoy traveling
